Your missions
As Fund Administration Operations & Governance - Associate Director you will play a key leadership role in overseeing operational activities, governance frameworks, and outsourced service providers, while supporting new business opportunities and managing strategic client relationships. The role also contributes to the continuous enhancement of our customer's operating model through process optimisation, service innovation, and improvements to policies and procedures that strengthen both operational efficiency and the client experience.
Key Responsibilities
The Associate Director is responsible for ensuring that the organisation operates efficiently, compliantly, and effectively by overseeing key operational, governance, and control functions. Acting as a central point of coordination between local teams, global service centres, clients, and external stakeholders, the role supports the delivery of high-quality fund administration services while enabling front-office teams to focus on client development and revenue generation.
Business Development & Client Relationship Management
Support new business opportunities, client onboarding activities, and commercial initiatives across the Luxembourg market.
Build and maintain strong relationships with clients, auditors, legal advisers, depositaries, and other key stakeholders.
Act as a senior escalation point for operational and service-related matters.
Contribute to the enhancement of the overall client experience through proactive service delivery and continuous improvement initiatives.
Corporate Governance & Oversight
Support and strengthen corporate governance frameworks, policies, and decision-making processes.
Maintain robust governance and oversight structures as the business continues to grow and evolve.
Implement and monitor KPIs, SLAs, and service delivery metrics to oversee outsourced operational activities performed by global service teams.
Ensure appropriate oversight and challenge of delegated and outsourced functions.
Operational Management
Oversee outsourced Fund Accounting teams responsible for delivering accounting and administration services to assigned client portfolios.
Ensure the accurate and timely delivery of:
NAV calculations and reviews;
Financial statements;
Regulatory and investor reporting;
Capital calls and distribution processing;
Payment execution and cash management activities.
Collaborate with local and global teams to ensure operational effectiveness and achievement of business objectives.
Provide operational insights and recommendations to senior management.
Risk & Compliance Coordination
Work closely with Risk, Compliance, and Legal teams to ensure:
Regulatory obligations are fulfilled;
Internal control frameworks remain effective;
Operational risks are appropriately identified, assessed, and mitigated.
Support regulatory inspections, internal audits, and client due diligence exercises.
Ensure operational processes remain aligned with applicable Luxembourg regulatory requirements and industry best practices.
Continuous Improvement & Service Innovation
Identify opportunities to improve operational processes, policies, procedures, and controls.
Champion efficiency initiatives and automation opportunities to support business growth and scalability.
Contribute to the development of new service offerings and enhancements that improve client outcomes and operational effectiveness.
Support the implementation of strategic projects and transformation initiatives across the business.
Candidate Profile
Significant experience within the Luxembourg fund administration industry.
Strong knowledge of Luxembourg fund structures, including private equity, real estate, debt, infrastructure and other alternative investment vehicles.
Proven experience overseeing outsourced fund administration and fund accounting activities.
Strong understanding of governance, risk management, and regulatory requirements applicable to Luxembourg investment funds.
Demonstrated ability to manage client relationships and support business development initiatives.
Excellent leadership, communication, and stakeholder management skills.
Commercially minded with a continuous improvement mindset and strong attention to detail.
