About our client
Our client is a Luxembourg-based boutique firm operating in the liberal professions sector. With a tight-knit team, the firm is known for its high professional standards, strong client relationships and a working culture that values both rigour and collegiality.
Your missions
As Office Manager, you will be the operational backbone of the firm: a trusted right hand to the partners, playing a central role in administrative organisation, activity coordination and the day-to-day running of the office. In a small structure, no two days are the same: versatility, a strong sense of priorities and a proactive mindset will be your greatest assets.
You will work on :
Full administrative management of the firm: correspondence, filing, contracts, invoicing and payment follow-up
Diary management for the partners and coordination of meetings, travel and events
Reception of clients and visitors, in both French and English
Management of relationships with external service providers and suppliers (IT, facilities, supplies)
Drafting and formatting of documents, presentations and internal notes
Administrative support to partners on client files
Contribution to the continuous improvement of internal tools and processes
Basic HR administration: leave tracking, onboarding of new staff

Your ideal profile
Previous experience as an Office Manager, Executive Assistant or similar role
Fully bilingual in French and English, both written and spoken
Excellent organisational skills, rigour and ability to manage multiple priorities simultaneously
Impeccable discretion and confidentiality
Comfortable in a versatile role within a small team, with a high degree of autonomy
Proficiency in office tools (MS Office, Outlook); knowledge of practice management software is an asset
Knowledge of a third language (Luxembourgish, German) is a plus
